Job Description

POST: Clerical Officer

Nature of Employment: Permanent Part Time Contract (18.5 hours per week Monday to Friday) in accordance with General Conditions of Employment.

Grange Community College, Grange Abbey Road, Donaghmede, Dublin 13. or other such place designated as appropriate by the Board.

The Organisation: Dublin and Dun Laoghaire Education and Training Board is a statutory local education authority operating under the terms of the Education and Training Boards Act 2013. The Board provides mainstream educational programmes to schools and colleges as well as providing a wide range of adult and community programmes. The Board’s educational remit extends from Balbriggan in the north of the county to Lucan in the west, to Dun Laoghaire in the south.

Reporting to: The Principal

Job Summary/ Purpose: The Clerical Officer will assist the Principal in the provision of an efficient and confidential service to students, staff, ETB Head Office, the Department of Education & Skills and any other agencies.

WORKING CONDITIONS
Salary Scale : €11,446 - €17,459

Entry above the minimum will be determined by any previous, relevant Public Service experience.

General : Salary is paid fortnightly. The Board operates a contributory group VHI scheme and flexible working hours.

Probation : The probationary period will be nine months. An officer of a ETB, Local Authority, Institute of Technology or Health Board who has already served a probationary period should not, on transfer or promotion, be required to serve a further probationary period.

Superannuation : Membership of the ETB Superannuation Scheme and of the ETB’s Spouses and Children’s Scheme is automatic and compulsory.

Annual Leave : 22 days per annum. This leave is on the basis of a five day week and is exclusive of the usual public holidays. Holidays must be taken at times to coincide with school holidays and by prior agreement with the Principal.

Expenses: The ETB does not pay expenses for the purpose of attending for interview or taking up employment.

Medical : A candidate who is not already in permanent employment of the ETB will be required, prior to appointment, complete a pre medical questionnaire.

Job Objectives

TASKS / DUTIES & RESPONSIBILITIES:
 Provide confidential and efficient secretarial and administrative support to the Principal and staff.
 General administrative duties such as word processing, data input, filing, photocopying etc.
 Deal with information requests and queries made via telephone, email, or face-to-face.
 Process and distribute daily post and email.
 Maintain an accurate filing system.
 Maintaining up-to-date computerised and manual accounts.
 Maintaining Student Database and making returns to D.E.S.
 Organise provision of hospitality for school events, visitors to school etc.
 Provide First Aid for students.
 To carry out the lawful orders of the Board and of its Chief Executive.
 To carry out any other duties appropriate to the grade which may be assigned from
time to time by the Principal.

Skills Required

ESSENTIAL REQUIREMENTS
• Leaving Certificate or a recognised equivalent examination.
• Excellent keyboard skills with a high Proficiency level in MS Word and Excel
• Working knowledge of the Microsoft Office applications and email.
• Excellent interpersonal and communication skills.
• An effective team player.
• Flexibility and reliability.
• Ability to work under pressure and keep to deadlines.
• At least one year’s administrative experience in a modern office environment would be desirable
